How do I use Gmail email

1. I clear the Inbox folder.

In my inbox, I have only relevant letters that require some action: reply, follow some actions, etc. When a certain letter becomes irrelevant, I just send it to the archive. What is an archive? These are emails that are not visible in the Inbox but are searchable. Here is the "Archive" button:

2. I mark important letters.

Some letters require an urgent response or are extremely important to me. And while I'm sorting through the mail, the first thing I go to is the "Starred" folder:

7. It is very convenient to use Gmail via mobile phone.

You can easily find an application for almost any phone here http://gmail.com/app. Or you can use the browser version of the Gmail site, it's still very convenient (the mail "shrinks" to fit the screen). Also, a lot of applications are released by third-party developers. For example, on my beloved iPhone, I use the Sparrow app, which is really very convenient. On the iPad, I use mail in the browser, everything works great.

The long process of editing (and writing, of course) made me finally believe that there are things that are obvious to some people and completely incomprehensible to others. By the way, the design is already being done for the book, so I would like to believe that by the beginning of summer it will already be possible to pick it up. In any case, Karmanov thinks so, but we'll see how it will actually be.

Anyway, I've sent out a few Gmail invites lately (and forcibly dragged a few in there) and have been forced to answer the same questions over and over again, which boil down to "why do I need Gmail". In order to no longer say and write the same thing twenty times, I decided to immortalize the answers here once and for all.

I want to warn you right away - this is not written for those who know. Surprising as it may seem to many of us, there are always people who don't know something. For those who are already firmly “addicted” to Gmail, this text is useless. All this is not written to surprise those who live on the technological frontier, but to provide food for thought for ordinary people. For some musicians in particular. 😉

1. First of all, what is Gmail? This is a free mail service that has a Russian interface, almost the same as Mail.Ru or Yandex mail. Another thing is that, for my taste, it works much better. In addition, Google mail has a slightly different work ideology. If Mail.Ru and Yandex offer a fairly large, but still a finite number of megabytes for storing mail, then Google offers about two gigabytes. Just in case - my mail archive, which stores all my correspondence since 1997, weighs about 700 megabytes. No, it is not stored on Google, but on my disk - the figure is given simply to estimate how much space you might need to store mail.

2. Why do you need so much mail space? In order to keep a complete archive of your correspondence over the years of working with mail. Why delete emails when you can keep them? What if the deleted email is ever needed again? In my practice, this happened more than once - that is why I have been keeping letters since 1997. And by the way, I really regret that when switching to Microsoft Office Outlook could not convert the UUPC mail database into it (those who were in Relkom will understand). And to save in the text - did not guess. So my correspondence for three years perished. I still regret it.

3. Well, I will not delete letters. But how do I navigate in such a hole in the text? If anyone does not know, Google today is the main search engine in the world. Therefore, in what, in what, and even in the search they know a lot. Accordingly, their suggestion: if you need some old letter, find it. For this, a convenient and simple search was made by headings, addresses, authors' names and the texts of letters themselves. Finding any letter is a matter of one minute. In this regard, the folders that traditional mail programs have accustomed us to do not exist in Gmail. We are not talking about the fact that all letters will be dumped in the Inbox folder. There is an Archive button, when pressed, the specified letters are deleted from the Inbox and moved to this very archive. Where they are stored forever - until one of them is needed. If desired, letters can also be deleted - however, it makes sense to do this only when there is one hundred percent certainty that the letter will not be needed. In all other cases - in the archive, you never know what.

4. What about spam? For most of us, buckets of spam arrive every day. There are many anti-spam tools available. I myself have tried many of them - and now I must say that it was only when I switched to Gmail that I breathed a sigh of relief. I don't know how (you can probably search the web for what technology they use), but Gmail cuts off pretty much all the spam that I used to get. Moreover, there are very few false positives in this system. The Spam folder that is there, I personally look through about once a week in order to find a maximum of two or three necessary letters in it. Everything else is really spam. Moreover, both Russian and English-language spam is cut off. I didn't believe it myself, but it's true. Additional bonus for the participants of the “Classic” forum is that, as a rule, Yandex and Mail.Ru consider the mail coming from the forum to be spam and do not let it into users' mailboxes. Then I get messages like “Why don’t I receive notifications about new messages on the forum” or “Why didn’t I receive an authorization letter after registering on the forum”. With Gmail, I don’t have such problems - I receive all the necessary letters, and in extreme cases you can always get into the Spam folder, find a letter that accidentally got there and, having selected it, tell Google that it was wrong - such letters will no longer be considered spam . Yes, what has lain in the Spam folder for a month will be deleted automatically - this is how Gmail saves space in the mailbox.

5. Is the search enough for convenient operation with letters? Basically enough. Search works great. But, if desired, you can use other means. Letters can be assigned keywords and make notes on them. Actually, the few folders that Gmail has (in particular, the same Inbox and Spam) are actually also organized using special marks. Although we do not need to know this. Entering in the search field keyword or by choosing desired label, you can view all the messages that match it.

6. I love working with mail in the mail program. Will it work in this case? It will turn out. Inboxes on Gmail can be checked both through the web and using email programs. Via POP3 and IMAP. Moreover, if you have the appropriate settings, the mail that you downloaded to your computer through the mail program is automatically archived in your Gmail box, as well as all the letters you send. Thus, in addition to the archive on the local computer, if you keep it, the correspondence archive is automatically saved to Gmail. Thus, if you are at home, use your mail as usual. And if not (on tour or somewhere else) - all, EVERYTHING !!! Your mail is still at arm's length.

7. Separately, I would like to note such a colossally convenient feature of Gmail as dialogs. Something of this kind is also present in Microsoft Office Outlook, but it is not always convenient to use it there, and in Gmail it is very conveniently done. It is especially useful if you participate in any mailing list - then on Gmail, not only can you safely store the entire archive of this mailing list for your own convenience, but it is also convenient to navigate it. What is this about. There is such a thing as a tree-like structure of correspondence. An example of such a structure can be observed, for example, in the comments to the LiveJournal entries. Gmail uses some combination of this method plus some of their own developments that allow you to extract quotes from emails and compare them with other emails in the archive. In other words, if you correspond with me on this or that topic - in my Gmail box this correspondence is shown not as twenty separate letters - but as a neat stream: at any moment I can scroll up and see what we talked about five letters ago. Naturally, this thing can be turned off and switched to the normal mode of viewing letters - but, believe me, once you realize how convenient it is, no other modes are needed anymore.

8. Mobility. In order to be able to fully use Google mail, you need a decent browser. However, if you are on the road and at hand from digital devices only a mobile phone - and in this case, you can read the mail. Just go to http://m.gmail.com and the wap-version of Gmail will open. Actually, you can go to the usual address - http://www.gmail.com - Google itself will understand from which device they came to it and will automatically substitute desired version interface.

In summary, the main advantages of Gmail:

Come up with a username. You have to come up with a nickname (), which you will use for authorization in the mail. It's worth noting that most "simple" logins are already taken by users, so you'll probably have to come up with something special. We hope this won't be a problem.

Pick a password. The password must be complex. Don't hesitate to use simple types qwerty or 123456 - attackers pick them up very quickly. You can create a complex password this way: take a Russian word, for example, "Mowgli". Write it in the English layout - you get Vfeukb. Amazing. Now add some numbers and symbols here, something like this: %?Vfeukb1975. We received a password of 12 characters, which is very difficult to guess. And if you use dual authorization, then it will be simply impossible to get into the mailbox.

Confirm the password. Enter the password above again in the field.

Date of birth, Gender. Whether or not to include this information is up to you.

Mobile phone. At this stage, adding a cell number is optional.

Alternate address Email . If you have another mailbox, you can specify it. In case of loss of access, all the necessary information will be sent to it.

Prove you are not a robot. Proving this is easy - you just need to enter a captcha, which, however, is not so simple. However, after a couple of attempts, you will probably be able to enter incomprehensible characters.

The country. Here you need to specify the country of residence, although it is usually automatically set for your region.

NECESSARILY check the box next to "I accept the Terms of Use ...", because without this it is impossible to continue registration.

After all the information is filled in, click on the "Next" button. Congratulations, registration is complete!

In the next step, you will be asked to add your photo, but you can choose not to do this - as you wish.

Get rid of email chains

If you belong to the second type of people, then this function can be easily disabled. In Settings > General, find and disable "Mail Threads". The next time you open the last email in a conversation with a recipient, you'll see a nice looking email text field, not a list of all emails. Archive me completely...

Gmail has a feature to archive emails instead of deleting them. It is assumed that your mail will have enough free space to store many large letters without periodically clearing the inbox. And since there is enough space, you can not delete the read letters for good, but send them to the archive just in case. To do this, after selecting a letter, at the top of the list of letters you need to click on the second button on the left (a square with an arrow down). And if you suddenly need an old letter, you can find it by selecting the "All Mail" section in the menu on the left.

…but don't forget to clean

No matter how generous in volume free storage there was no Gmail, but in the yard of 2016, and letters are becoming more and more voluminous. So one day you will run out of storage space, and then you will have to empty the archive from the heaviest messages. To do this, click the small arrow at the right end of the search line. To do this, go to Settings > Accounts and Import. In the “Give access to your account” subsection, you can add another Google user and thus give him access to your mail. It won't be able to change your password or other settings, but it will be able to read, archive, and reply to your emails. Such letters will be signed by your name and the name of the authorized person, which will be indicated in brackets.

Block intrusive interlocutors

Some people don't get hints. For these there is a lock button. When you receive an email from a sender you don't want to receive anything else from, open the email and click the down arrow in the top right corner. Select "Block Sender" from the dropdown list. Now all emails from this address will go straight to the Spam folder.

Reread old letters

If you need to quickly find an email your friend sent you years ago, just hover over the sender's name in the email list or in the reading window. The contact's business card window will appear. There is a "Correspondence" button, by clicking on which, you will see all the letters that you exchanged with this addressee.

Everyone had such a situation when a letter instead of one addressee mistakenly went to another. Now you can protect yourself from such a nuisance by enabling the email cancellation function. Go to Settings > General and check "Cancel Send". Here you can also select the delay time for sending the letter from 5 to 30 seconds. The next time you send an email, you will see an "Unsend" button.

Leave in English

Tired of group conversations that put you in? You can slowly leave them. To do this, select the email thread and in the More section click the Ignore button. After that, all letters in this chain will bypass you, only if you are not the only recipient of the letter. If you want to return the conversation, find the appropriate thread in your inbox and unblock it.

Create new Gmail addresses easily

Let's say you don't want to bother with filters, or you want to create an additional Gmail account for something. In this case, you can create a virtual Gmail address by simply adding + something between @ and Gmail.com. Let your clients and partners think that you are a workaholic maniac who works even at night. Install Boomerang extensions, with which you can schedule emails to be sent in the future. The extension is valid for Chrome browsers, Safari and Firefox. Free version allows you to schedule up to 10 emails per month. The same extension can be used as a reminder of letters that you need to finish work on later.

Automate replies to the same emails

You may have to look through and respond to dozens of the same email every day. In order not to write answers every time again, use the "Answer Templates" button in the Settings > Laboratory section. The next time you write a template reply, mark it appropriately so you can submit the same reply over and over again.

Don't torture the mouse

Give your mouse a break - use keyboard shortcuts. Some of them are active by default. If you want to learn more about them, take a look at the Settings > General section and turn on the "Shortcuts" item. Then press the "?" on keyboard. Stop following other email services
