ms exchange mail. Microsoft Exchange OnlineCloud-based corporate email service

Understand what a server is Microsoft Exchange server, how to set it up and how to work with it. This is a forwarding service. emails. There is support for client protocols like POP3, SMTP, MAPI and IMAP. Integrates with Outlook. This program is used if you need to provide access to mail to several users at once. It is indispensable in organizations with large quantity employees. But it can also be useful for small businesses.

The server allows you to share contacts, tasks, and other mail services. You can create mail with your own domain.

Exchange server (ES) has many versions that are released at different times. Microsoft added new features to each of them. Or deleted. For example, developers removed support for instant messages from the 2003 program. This utility will be discussed next. Setting up other versions of it is functionally no different. Yes, and you can learn how to raise the Exchange 2003 schema to the current one.

The program is available to work with voice mail, fax, mobile devices. You can access the mail server from any computer as long as you have an internet connection. Support for HTTP, POP3, SMTP, LDAP, IMAP 4, MAPI.

ES can interact with other Microsoft utilities: ActiveSync, Windows Mail and Outlook. The operation of the utility is closely related to the Active Directory (AD) component.

In order for the computer to work properly with this program, it must have suitable characteristics. They depend on what kind of load it will have and what type of connection it is planned to use. Here are the system requirements for small businesses:

  • 64-bit architecture.
  • 10 gigabytes random access memory. Add 20 megabytes for each new user.
  • 30 gigabytes of free space in the hard drive.
  • 200 MB of memory on the system disk.

Suitable characteristics for different Exchange servers are listed on the official Microsoft website. Large organizations have different requirements for a mail server. It needs several computers.

Installation

To install and configure the utility, you first need to download a number of components and services.

  • WWW Publishing.
  • SMTP and NNTP.
  • NET Framework
  • Windows 2003 Support Tools (numbers vary by ES version).
  • Administration tools.

If you have a disk or other drive with an Exchange server, run the installation from it. Or find the program on microsoft.com.

Microsoft official site

  1. Enter your query in the search bar (it's on the top right).
  2. Go to the "Downloads" section.
  3. Open the page with the version you need.
  4. Click the "Download" button.
  5. Open the downloaded file. The data will be retrieved.

Before installing the ES server, you need to prepare AD. Active Directory contains most of the information that is associated with Exchange server 2003: contacts, accounts, configurations, attributes.

If you don't have a group that manages the directory and you don't plan on doing a big deployment, you can jump right into the installer. He can set everything up automatically. Administrator rights are required to work with AD.

  • In the unpacked folder with ES, find the setup.exe file.
  • open command line Windows.
  • Enter the command "[Path to the Setup file] /PrepareSchema /IAcceptExchangeServerLicenseTerms".

  • Wait for the directory to apply the desired settings.
  • Next, you need to set the name of the organization for Microsoft Exchange server 2003. Write “[Path to the Setup file] /PrepareAD /OrganizationName:”Organization name” /IAcceptExchangeServerLicenseTerms”. The company name can only contain Latin characters, numbers, dashes. It cannot be changed after installation.

  • Wait again.

Now prepare the domains.

  1. Enter the command "[Path to setup] /PrepareAllDomains /IAcceptExchangeServerLicenseTerms".
  2. To select a domain - "[Path to setup] /PrepareDomain: /IAcceptExchangeServerLicenseTerms"

The installer does all this automatically.

To see the result of the work, go to the AD Service Interfaces editor. Find "Schema" ("Scheme"). Select the "rangeUpper" property. The "ms-Ex-Verision-Pt" should contain the value for the Microsoft Exchange server (this is not the 2003 program version; the values can be found on the official Microsoft website).

Creating domains

In order for ES to receive and send emails using the POP3, SMTP, IMAP protocols, add users and work, you need to create a domain.

  1. Go to the program console.
  2. Go to Organization Configuration.
  3. Open "Hub Transport Server".
  4. Accepted Domains section.
  5. "Create Domain" button.
  6. Enter a name in the window that opens. It can be the name of your company, line of business. Or all together in any combination.
  7. Check the "Authoritative domain" option.
  8. Open the "Address Policies" tab.
  9. Click New Policy (in the Actions list).
  10. Write its name.
  11. Add a "Users" container. To do this, click on the "Browse" button and specify the path to it.
  12. Click "Next" until the window with the rules for email addresses appears.
  13. Check "Select an accepted domain".
  14. Browse button.
  15. Specify the domain you just made.
  16. Confirm.

Now Exchange Server 2003 can handle internal email. That is, this type of resource allows employees to send letters to each other. To set up receiving and sending e-mails via IMAP, POP3 and SMTP protocols:

  1. Go to "Hub Transport Server".
  2. Send connectors.
  3. In the Actions section, select Create Connector.
  4. Write the name of the connector.
  5. Enter your domain name.
  6. Click next.
  7. In the next menu, you need to specify which addresses mail will be sent to. If it is necessary to Microsoft server 2003 worked with all domains, write the symbol "*" (asterisk) in the "Address space" field.
  8. "Next" again.
  9. Select the "Use DNS MX records for automatic routing" option.
  10. Click "Next" a few more times. And click "Create".

Then you need to configure the reception of electronic correspondence from external sources:

  1. Go to "Server Settings".
  2. Open the Transport Hub.
  3. There are only two connectors: "Default" ("By default") and "Client" ("Client"). The first is used to work with almost all domains, the second - for Outlook users. It blocks receiving messages from sources that have not been authenticated. And this is almost all the resources on the network.
  4. Double click on the name of the connector. The properties menu will open.
  5. In the "General" section, write the actual domain name.
  6. Go to the Permission Groups tab.
  7. Check the box for Anonymous Users.
  8. Authentication section.
  9. Uncheck the "Authenticate" option.

The program is configured and can work.

Setting

Now you can figure out how to choose the type of Exchange account (POP3, IMAP 4). Both protocols are connected to Client Access. In version 2003 - to IIS. Separate departments are responsible for them.

Find one of them in the console list.

  1. Open its properties.
  2. In the "Startup Option" section, select "Automatically".
  3. Click "Launch".
  4. Go to Local - Server Settings - Client Access.
  5. The "Protocol Name" list will show "POP3" and "IMAP 4". Open the properties of one of them.
  6. You can specify the port numbers on which the program will be able to connect the domain.
  7. On the Authentication tab, set the security options. They depend on the options that can be set on the user's computer.

In new Microsoft versions server (from 2013 and above) settings are placed through the ECP (Administration Center).

These protocols can accept electronic correspondence. The difference between them:

  • In IMAP 4, emails reside on the server. You need internet to access them.
  • POP3 stores messages on the recipient's side (computer, mobile device), but deletes them from the domain. If you download them to your PC once, they will disappear from the domain. This protocol has its advantages. But users usually prefer IMAP.

Create mailboxes

Adding users and mailboxes requires domain administrator rights.

  1. Launch the management console.
  2. Expand Mailbox Configuration on Recipient.
  3. "Create a box".
  4. Open the "Introduction" section.
  5. Click "Mailbox".
  6. In the "User type" section, select "New".
  7. A page will open with information that must be entered: employee's full name; login (login name); password.
  8. In the next window, you need to fill in the "Alias" field (usually the same as the login).
  9. Download the box database and its policy.
  10. Confirm and click Create.

In ES 2016, this is done like this:

  1. Open the Admin Center (ECP).
  2. Click on the "Recipients" button (it's on the top left).
  3. Click on "Mailboxes".
  4. Expand the list with the same title. To do this, click on the arrow next to the "+" (Plus) symbol.
  5. User Box option.
  6. Open the Create page.
  7. "New user".
  8. Fill in the information about the owner of the account.
  9. Save your changes.

After that, the mailbox can be connected to Outlook or another mail program.

  8. Mark the point to ES.
  9. In the Server field, enter exchange[version].[domain].
  10. In the "Username" write the login.
  11. Check the "Use caching" box if you are going to access mail with mobile devices.
  12. In the window that opens, put a dot in "Automatically detect status".
  13. Click the "Connection" tab.
  14. Label "By HTTP protocol».
  15. Click the "Proxy Server" button.
  16. In the URL field, write exchange[version].[domain].
  17. In the Authentication Method list, select NTLM Authentication.
  18. Click OK.

You cannot create a connection while Outlook is running. Before configuring, you must close this program and end the processes associated with it.

Schema boost

Only one organization is accessible within the same network. You cannot use different ESs in parallel. If you've already installed a mail resource, you can figure out how to promote an Exchange 2003 schema to 2007, 2010, 2013, or 2016. This is a fairly complex process with many factors to consider. Starting from installed programs, ending with the settings of each user. To migrate an ES program, you need to understand it well.

  1. Download all updates for ES.
  2. Expand the utility you are about to switch to. You need to do this in this order: Client Access, Hub Transport, Messaging System, Mailboxes.
  3. Put the old utility in the foreground. In place of client access, put the desired version.
  4. Set up a hub transport and messaging system.
  5. Move the boxes to the new server.
  6. Update all AD services.

One more way. technet.microsoft.com has an interactive ES helper. Go to this site, enter a query in the search bar and open desired page. To bring up the schema, click "Local Deployment". Select the version you want to upgrade to. There is an environment update.

It is impossible to imagine a big company without Microsoft Exchange server. Own email domain will increase the efficiency of the company. But in a small enterprise, the server is also indispensable. The program makes it very easy to receive and send messages using all protocols. It can be connected to Outlook.

In Exchange 2010, all correspondence history is automatically grouped into message threads. This innovation allows you to significantly save time on searching and reading related letters during long correspondence. If you do not want to participate in any correspondence, the service provides the ability to refuse a certain chain.

  • Microsoft Exchange Server 2016 is latest solution for corporate mail and interaction between employees. Exchange Server has become almost the standard for corporate mail systems. On the own experience we can say that over the past 3 years, LanKey has completed more than one project to migrate to Exchange Server from products such as IBM Lotus Domino, Alt-N Mdaemon, various Linux-based servers, as well as from hosting providers. At the same time, for all the time there was not a single request to switch from Exchange Server to something else.

Why are more and more customers choosing Microsoft Exchange, and what is its main difference from competitors?

For a long time now, company employees need more than just receiving and sending e-mail. Users want to have a database of contacts of colleagues and clients, they want to schedule appointments and meetings, management wants to assign tasks to subordinates and control their implementation. A dynamically developing business requires a faster response to customer requests, so employees need access to mail not only at the workplace, but also from home, while on a business trip or even on the road. At the same time, information security requirements are constantly tightened. Management wants to be sure that confidential correspondence does not fall into the hands of strangers, and employees want to receive less spam and viruses. Large companies require that employees of all branches have the same functionality of corporate mail and can easily move between offices. All these tasks will help to solve the implementation of Exchange Server 2016.

    Microsoft Exchange Server 2016

Microsoft Exchange Server 2016 is a business-class corporate email system that, in addition to its capabilities mail server provides users with a wide range of collaboration tools, such as: calendars, tasks, general contacts and address books shared folders, accessible through Outlook, which can host various general documents and mail.

Role structure of Exchange Server 2016

Implementing Microsoft Exchange Server 2016 will provide the following benefits:

    1) Unified user environment. Single interface on computer and browser. The new Outlook Web App (OWA) provides a similar experience to regular Outlook that all users are used to. Now full access to the mail can be obtained through Internet browsers Explorer, Firefox and Safari. By implementing Exchange Server 2016, employees will have a single inbox for email, voicemail, fax, and SMS. It will be possible to listen to voice mail directly through Outlook. Each user can set up their own autoresponder.

Web access to MS Exchange from Outlook Web App (OWA)

Accessing MS Exchange from Outlook 2016

    2) Increasing user productivity. Every day, users have to process dozens or even hundreds of emails, which takes a lot of time. A lot of time is spent searching for the right letter, it is difficult to find who wrote to whom and when. With a large number of letters, it becomes difficult to trace the correspondence. The new OWA in Exchange Server 2016 (as well as Outlook 2016) groups conversations into message threads and instead of a dozen messages received at different times and scattered in different folders, it displays only one item. By expanding this element, the user sees all the correspondence at once.

Example of grouping messages into a thread

In addition, when creating a letter, the user is given special prompts (MailTips). When creating a new message, information is displayed about possible restrictions on the size of the letter, if the user has exceeded it, information about the availability of contacts to which the user sends a letter, prohibitions to send to these recipients, etc. Previously, when a user, for example, sent a letter that exceeded the allowable size, the letter was sent from Outlook, then the mail server, receiving a letter that was too large, deleted it, and then sent the user a notification about the error and the impossibility of delivering the letter. Users, in turn, without reading the essence of the error, began to call the support service. As a result, while the problem was being solved, it took a lot of time, and an important letter could not reach the recipient for quite a long time. Now the user, even when creating a letter, sees whether it complies with the rules and policies and whether it will be delivered without errors.

    Attachment Exceeded Hint Example

Thus, thanks to the implementation of Microsoft Exchange Server 2016, company employees will be able to save up to 20% of the time spent on mail processing.

    3) Universal access. Exchange Server 2016 provides users with truly ubiquitous access, regardless of whether a person is in the office, at home, on a business trip or on the road, he will always be able to receive and send mail, make and receive calendar appointments, view contacts of clients and his colleagues. At the office, an employee works with his regular Outlook, at home he can use Web Access (OWA) or, again, use regular Outlook using Outlook Anywhere. Similarly, the user can connect to mail from any Internet cafe or hotel. In this case, a person does not need to set up any VPN connections, and all traffic will be encrypted. In addition, Exchange 2016 allows you to work with mail using a regular phone. You can simply call Exchange Server 2016, dial a pin in tone mode, and listen to your incoming mail (Exchange will read it with your voice), accept or decline calendar appointments, and even find people in your address book. This feature is called Outlook Voice Access (OVA).

    4) Mobile access. Mobile access provided by Exchange Server 2016 deserves a special mention. Microsoft's ActiveSync technology has become the standard for accessing mail from mobile devices. This protocol allows employees to see all their corporate mail, contacts, calendar and tasks right on their mobile device. At the same time, thanks to DirectPush technology, users do not need to check mail manually, it comes to the device itself, similar to how SMS is received. As soon as a new letter arrives at the corporate inbox, it immediately ends up in mobile phone. The contacts of the phone and your contacts are also synchronized on the Exchange mail server. ActiveSync is supported by almost any smartphone or communicator based on Windows Mobile, Symbian, iPhone OS. So, for example, you can use HTC, Samsung, Nokia, Apple iPhone, Sony Ericsson, Motorola, Gigabyte, Asus, HP, Acer, and more. Employees can travel around the world, staying connected, receiving and processing e-mail messages. In addition, using communicators based on Windows Mobile 6.1 and later, users can send and receive SMS messages directly from Microsoft Outlook 2016 or OWA.

    5) Information protection. Exchange Server 2016 provides a wide range of email protection options. Exchange is built from the ground up to use the most secure means of authenticating domain users. Interaction with the Active Directory directory service occurs using the Kerberos protocol. For more safe work smart cards or systems can be used biometric authentication. All external communications, access via the WEB or using mobile devices are encrypted using the SSL protocol. In addition, users can use the encryption and signature of the electronic messages themselves using S / MIME technology. Encryption is available both from Outlook and via WEB or mobile access. Microsoft Exchange Server 2016 supports IRM (Information Rights Management) technology, which allows you to protect confidential Microsoft documents office. With the help of IRM, you can, for example, prohibit the transfer of confidential documents outside the enterprise, prohibit their viewing and printing by persons who do not have the right to do so. In addition, for all users of the enterprise, email storage policies (mailbox retention policy) can be set, so that employees will not be able to delete their email (in whole or in part) for some time or other rules. Exchange 2016 allows administrators to search for messages across all mailboxes at once, which can be very useful, for example, when investigating information security incidents. Exchange 2016 provides email moderation capabilities. If a user sends a letter that meets certain criteria, then it will not reach the recipient until it is approved by the system administrator or other responsible person.

    6) Antivirus and antispam protection. In Exchange Server 2016, quite good anti-spam features are already implemented in the basic configuration. But the main advantage of Exchange is that many very good anti-virus and anti-spam products have been developed for it. This highlights the GFI MailEssentials and GFI MailSecurity products. The main advantage of the last two anti-virus products is that several anti-virus engines can be used simultaneously to check e-mail. Among them: Kaspersky, McAfee, BitDefender, AVG Antivirus, Norman, etc. In addition antivirus check can occur at three levels: on edge servers (Edge Transport), on internal routing servers (HUB Transport) and on database servers (Mailbox). Thus, Exchange Server can provide best-in-class email antivirus protection. And according to statistics, it is email that is the main source of the spread of viruses.

All of the above speaks to the great benefits of implementing Exchange Server 2016 from a user's point of view. But MS Exchange has a lot of benefits hidden from the eyes of users.

    High degree of infrastructure integration

Exchange Server 2016 is a highly integrated communications platform. And if your company's IT infrastructure is built on software Microsoft, then you will get the maximum benefits, maximum safety and the greatest ease of operation. Exchange fully relies on the directory service (domain) of Active Directory, you do not have to create users 2 times in the domain and on the mail server separately. System administrators do not have to configure user workstations, Outlook 2013 and Outlook 2016 will automatically connect to the Exchange server and be configured automatically using Autodiscover services. Exchange Server 2016 integrates with Forefront Threat Management Gateway 2013 (formerly known as ISA Server) to provide the highest level of protection against external threats. Exchange integrates with products such as Microsoft CRM and SharePoint, and the combination of Microsoft Exchange Server and Microsoft Office Communications Server provides a powerful Unified Communications solution.

    Unlimited scaling options

Exchange Server 2016 has almost unlimited scalability, it can unite hundreds of thousands of users under one email domain. An unlimited number of mail servers can be installed in an organization, the servers themselves can be scattered geographically around the world, each of the servers can contain mailboxes of different users. Moreover, administrators do not have to configure mail routing, Exchange will do this automatically based on the topology of Active Directory sites. Like Exchange Server 2013, Exchange 2016 has a role model that allows for even more load balancing and administration flexibility.

    High availability and fault tolerance

Email- is a critical service for almost every company, but for some companies, mail is a service on which business processes directly depend. Even an hour of email downtime can cost tens or even hundreds of thousands of dollars. Such companies include banks, stock exchanges, insurance companies and many other enterprises in the financial and manufacturing sector. To ensure the availability of the corporate mail system 24/7, LanKey is implementing Exchange Server 2016 clusters that provide 99.999% or more availability.

Beginning with Exchange Server 2007, powerful clustering and replication technologies (CCR, SCR, LCR, and SCC) appeared. In Exchange Server 2016, all these technologies have been replaced by one even more advanced technology - DAG (Database Availability Group). This technology allows you to replicate mail databases between cluster nodes. And in case of failure hard drive, an array, or even an entire server containing an active database, the passive copy will immediately come into operation. At the same time, users will not experience a single second of downtime, they will not even know that the mail server is out of order, and will continue to work quietly.

Exchange Server 2016 Failover Infrastructure Example

The main difference between DAG and previous technologies, such as CCR, is that each active database can have up to 16 passive (backup) copies, all cluster nodes can be active, can contain several active and several passive copies of mail databases. Now, even when using the DAG along with the Mailbox role, you can install the Client Access, HUB Transport, and Unified Messaging roles.

Reduce hardware, software and maintenance costs

As paradoxical as it may seem, even if you already have Exchange Server 2013 or, moreover, Exchange Server 2007 deployed, switching to Exchange Server 2016 will save direct hardware costs, software and IT infrastructure support.

Reducing equipment costs. In Exchange Server 2016, the I/O system for disk subsystem requests has been significantly redesigned. Thus, it was possible to reduce the load on the disk subsystem by 75% compared to Exchange Server 2007, and by 50% compared to Exchange Server 2013. And if earlier the mail database required expensive RAID 10 disk arrays based on SCSI drives or SAS, then you can now get by with simple SATA drives combined into RAID 5 arrays. In addition, previously, building an Exchange Server 2003 cluster required obligatory presence SANs and iSCSI or FC disk arrays that cost tens of thousands of dollars. Also in such a cluster there was a single point of failure - this is the disk array itself. It was possible, of course, to purchase fault-tolerant arrays with hardware data replication, but these are already prices of the order of hundreds of thousands of dollars. All this is no longer required if you are implementing an Exchange Server 2016 cluster. DAG technology itself provides data replication, and it does not require SAN and shared storage at all. disk array. And a simple shared folder can be used as a quorum. But even if we take a CCR cluster based on Exchange Server 2007, it turned out that one server is active and the second server is passive. Those. you bought 2 powerful servers, and 99% of the time only one was working, and the second was just idle, consuming electricity. In Exchange Server 2016, when using a DAG, all servers are running at the same time and are active.

Reducing software costs. Previously, building an Exchange Server 2007 cluster required a minimum of 2 Exchange Server 2007 Enterprise Editions, costing approximately $4,000 each, for the Mailbox role and 2 Exchange Server 2007 Standard Editions, costing $700 each, for the Client Access and HUB Transport roles. An Exchange Server 2016 cluster can now be built on Exchange Server 2016 Standard Edition. In addition, now all roles can be combined on one server, and in fact a cluster can be built by purchasing only 2 Exchange Server 2016 Standard servers for $700 each (when using a software or hardware load balancer for the Client Access role).

Reducing maintenance costs. As mentioned above, Exchange Server 2016 has a number of features that take the load off system administrators. For example, Mail Tips inform the user about problems or possible mistakes, even when creating a letter, before sending it. This allows you to significantly reduce the number of calls to the support service. By implementing MS Exchange Server, users themselves will be able to restore by mistake deleted messages without contacting the system administrator to restore their letter from backup. In Exchange Server 2016, a special ECP (Exchange Control Panel) control panel has become available to each user, which allows users to change their domain password, view delivery reports for sent and received messages, create and manage distribution groups, and manage their smartphones. And all this can be done without the participation of a system administrator. Every day, the support service receives requests that a letter was sent to an employee, but it did not reach, or vice versa, the user sent a letter to the client, but he did not receive it. In Exchange Server 2016, users themselves can view the delivery report and see what happened to their email. It is often difficult to get and control that employees use the company's standard form of signature in e-mails. In Exchange 2016, system administrators can set up dynamic email signatures for all employees at once. So, for example, employees of the human resources department can be delegated the management of contact information.

    Implementing Microsoft Exchange Server 2016

Exchange Server 2016 is a fairly complex product, and its implementation, contrary to some opinions, is somewhat more complicated than launching setup.exe and a few clicks of the "Next" buttons. An enterprise-wide deployment of Exchange Server 2016 with a large number of users and a large number of branches requires certified professionals with extensive experience in similar projects. In addition to the development of the MS Exchange server infrastructure itself, appropriate planning of the Active Directory domain structure and site topology is required. Exchange is directly dependent on the functioning of domain controllers and global catalog servers. When designing failover cluster configurations, you need to take into account a huge number of factors that affect the performance of the mail system. Because creating a system that does not have a single point of failure is not an easy task. And you need to understand that just a deployed Exchange Server 2016 cluster is not a panacea for all problems. So, for example, you can invest several thousand dollars in building an Exchange cluster, and a burned-out switch or UPS will disable your system for a day. It is for these reasons that companies entrust the task of deploying Microsoft Exchange Server to system integrators. But here, too, one should not make a mistake, not all system integrators can deploy a corporate mail system based on Exchange Server with high quality. You should make sure that the system integrator is certified to perform this type of work, and also make sure that he has a portfolio of successfully completed similar projects.

LanKey is a certified system integrator, is a Microsoft Gold Certified Partner and has a Gold Messaging competency, which confirms our highest experience and professionalism in the implementation of Exchange Server 2016.
